Organisations like NCHA are bound to comply with a set of laws that relate to data protection and privacy, including the General Data Protection Regulation (GDPR). The laws set out how people's data should be handled by companies.

How we handle personal data

We collect and store data about a number of types of people. This includes our tenants and service users, our staff, and other people we work with.

What data we collect and how we use it depends on our relationship with you. In general our data about you is accessed through our internal computer systems, but we also have paper forms, letters and CCTV systems. We strive to ensure your data should only be accessed by the correct people.

Our departmental privacy notices go into detail about what each part of the business does with data. You can also find out more about the companies we work with, and what their policies on data are.

What we do with data

What we do with your data depends on your relationship with us.

As a tenant we use it to manage your tenancy and to provide you with your home and the services to support your home that you would expect. As a service user we do all the above and we also provide support to you. This might mean we have to have more data and to use it in a different way, to ensure we can deliver our full service of care. As an applicant for our services or a job with NCHA we need to know that you have a right to work or live in the UK so we might need to ask questions about that.

Information you enter into forms on our website will be processed by NCHA and its staff in accordance with the General Data Protection Regulation principles.

Contacting people

We may contact you to manage the services we provide.

If you are a tenant and have given us a mobile number we will contact you about your rent account using SMS. We will also write to you at least once a year to tell you about your rent.

We might also contact you about extra services that are available to you (such as insurance or energy efficiency). Where the information is optional you can control your contact preferences by contacting us.

Marketing

If you have said that you are happy for us to contact you to receive marketing then we will send you things from time to time. You can control the level of contact by contacting us.

Whilst we use a number of external contractors, especially to provide our maintenance service, NCHA will not give your data to other organisations for marketing purposes.

How long we keep data

We are required to keep some data by law, and some of it may need to be kept for quite some time. In general though, we keep data as long as is necessary.

For most tenants that means we keep it throughout the tenancy and for six years after the completion of the tenancy.

If you have only made an enquiry to NCHA than we will only keep that data for six months (unless you become a tenant or get a job with us).

Changes to this privacy policy

If we change our privacy policy, we will make any updates clear on this web page. Significant updates will also be communicated in our magazines, and on social media. 

Cookies

Cookies are small text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity.

The NCHA website uses cookies to allow you to customise your viewing experience (font sizes and colours), to allow you to easily visit our social media from the website (Facebook, Twitter, Instagram and YouTube) and to provide us with statistical information about website visitors.

Social media

NCHA uses social media channels to communicate with our customers, stakeholders and the general public.

Any communication received by social media will be managed by our Communications and Engagement team. They will decide how to best answer the issue. If the query cannot be immediately dealt with by that team, they will utilise our other channels such as phone or email to put you in touch with the best people within NCHA to help.

Any stories published on NCHA's social media channels will be published with the permission of the people involved.
